Time Off Balance Report

The Time Off Balance Report tracks all updates to time-off balances at the agent level. It provides a detailed overview of time-off transactions for efficient management and enables users to track and analyze time-off balances. The report includes insights into timestamps, user activity, and policy details, and also maintains a clear audit trail.

When you create a new widget in a reporting dashboard using the Service Analytics data source, the Time Off Balance Report appears under the Workforce Management Report Group in the Widget Builder when you select a metric or dimension. Below are some of the scenarios where this Report is beneficial:

  • Real-Time Balance Tracking: Equips agents and managers with updated information on available leave balances.

  • Policy Adherence: Tracks the allocation and deduction of leave balances in line with company policies.

Time‑Off Balance Unit Conversion

When configuring Widgets using this report, the system displays balances based on the Time Off Activity type:

  • For hour‑level Time Off Activities, balances are shown in hours.

  • For day‑level Time Off Activities, balances are shown in days.

Hour‑Level Time‑Off Activities

When the Time Off Activity is defined at the hour level, but the metric is displayed in days (for example, Initial Balance (Days), Final Balance (Days), or Balance Difference (Days)):

  • The system converts hours to days using linear conversion.

  • The conversion is based on the Total Time Off Paid Duration, where Total paid duration = 1 day.

  • All related balance calculations use this linear conversion.

Day‑Level Time‑Off Activities

When the Time Off Activity is defined at the day level, but the metric is displayed in hours (for example, Initial Balance (Hours), Final Balance (Hours), or Balance Difference (Hours)):

  • The system automatically calculates and deducts leave based on the Total Time Off Paid Duration configured in the Time Off Policy.

  • One day of leave equals the number of paid hours defined in the policy.

Note: DP needs to be enabled in order to access this report.

Metrics and Dimensions

The following are the Metrics and Dimensions available under the Time Off Balance Report:

The available Time Off balance, in days, before the requested Time Off is applied.

Initial Balance (in hours)

The available Time Off balance, in hours, before the requested Time Off is applied.

Initial Balance (in minutes)

The available Time Off balance, in minutes, before the requested Time Off is applied.

Final Balance (in days)

The remaining Time Off balance, in days, after the requested Time Off is applied.

Final Balance (in hours)

The remaining Time Off balance, in hours, after the requested Time Off is applied.

Final Balance (in minutes)

The remaining Time Off balance, in minutes, after the requested Time Off is applied.

Balance Difference (in days)

The difference between the initial and final balances, in days.

Balance Difference (in hours)

The difference between the initial and final balances, in hours.

Balance Difference (in minutes)

The difference between the initial and final balances, in minutes.

Time Off Activity 

The Time Off Activity, such as Sick Leave, Vacation, Personal Leave.

Time Off Balance Transaction Type 

The type of activity associated with changes in time off balance (e.g., Deduction, Accrual). 

Tag 

A label or keyword associated with the request time for easy identification or categorization. 

Agent 

The Sprinklr user for whom the report is being generated 

Date 

The date on which the event occurred. 

Agent Manager 

Agent Manager Assigned to the user 

Day of Year 

This is the sequential day number starting with day 1 on January 1st 

Time of day  

The specific 1-hour period within a day when an activity occurred, displayed in the 24-hour clock format (hh:mm) and adjusted to the user's time zone.  

Time of day (30 minutes interval) 

The specific half-hour period within a day when an activity occurred, displayed in the 24-hour clock format (hh:mm) and adjusted to the user's time zone.  

Time of Day (15 Minute Interval) 

The specific quarter-hour period within a day when an activity took place, represented in the 24-hour clock format (hh:mm)and adjusted to the user's time zone. 

Week of Year 

This is the sequential week number in the year starting the week count with Sunday 

Month Of Year 

The name of the Calendar Month on which the activity occurred. 

Day of Week 

The name of the day of the week on which the activity occurred. 

Day of Time Range 

This dimension specifies the respective day number in the selected time range. Note that the start date will be referred to as Day 1 and so on. 

Agent Email Id 

Email ID of the user.
