Record Manager

The Record Manager serves as your command center for managing all LLM Insights reports within your environment. It gives you a comprehensive, organized view of every report, along with key details to help you quickly find, review, and manage them.

Creating a New Report

To create a new report, simply click + Create Report in the top-right corner.

You’ll be guided through the setup process step-by-step. For detailed instructions, see the Setting Up Your LLM Insights Report article.

Record Manager Columns and Metrics

Once you access the record manager, you will be able to see the following metrics:

Description

Report name

Title of the report

Status

Current state of the report: Active, Inactive, In Progress, or Expired

Prompts

Number of prompts configured in the report

Use case

Business objective or scenario the report supports

End date

Date when automated refresh stops

Refresh cadence

Frequency of report updates, for example daily or weekly

Owner

User responsible for the report

As your environment grows, finding the right report quickly becomes critical. Record Manager includes powerful tools to streamline discovery:

  • Filters: Narrow results by Status, Use Case, Owner, or Tags

  • Search Bar: Locate reports instantly by name

These capabilities are especially valuable for organizations managing hundreds of reports across multiple teams or regions.

Actions available on each report 

Go to the Vertical Ellipsis to view the actions available for each report:

  • View Input: Review the original configuration used to create the report, including:

    • Brands and AI tools

    • Prompt pillars and prompts

    • Refresh frequency

    Use this option to audit setup details or replicate a report for another market or business unit.

  • Enable / Disable:

    • Disable a report to pause future prompt runs without losing historical data.

    • Re-enable it any time before the End Date.

Once the End Date passes, the report becomes Expired and can no longer be modified, only viewed.

  • Delete: Permanently remove a report from your environment.

    Note: Deleted reports cannot be recovered, so use this action with caution.

  • Permissions: Control access to the report by assigning viewing and management rights to specific users or teams. This is especially useful for:

    • Global organizations managing region-specific reports.

    • Scenarios involving sensitive or competitive intelligence.

  • Manage reports: Reports run automatically based on their configured refresh cadence until the End Date.

    The Manage Reports view gives you full visibility into report activity, including:

    • A history of all scheduled runs

    • Success and failure statuses

    • Timestamps for each generation

      If a run fails, you can manually restart it before the next scheduled cycle. This helps ensure continuity and prevents gaps in your data.
