Macros UI Capabilities

Macros help automate repetitive actions on messages by applying predefined responses, updates, and workflows in a single click. The Macros management interface enables you to create, organize, analyze, and safely maintain macros at scale.

Macros UI Overview

The Macros screen provides a centralized view to:

  • Create and manage macros
  • Analyze usage and performance
  • Review dependencies before deletion
  • Maintain a clean and efficient macro library

Accessing Macros page

  1. Click Launchpad or New Tab . Under Platform Modules, select All Settings within Settings.

  2. On the left pane, expand General Settings, and then select Macros.

Key UI Components

Header Actions

The following table illustrates the Header UI capabilities and its description:

Create Macro

Create a new macro by defining actions, conditions, and responses. Use this to automate repetitive workflows and standardize agent actions.

Review Usage

Open the Review Usage view to analyze macro performance. This includes usage trends, last used date, and identification of unused or low-impact macros. It also enables marking macros as reviewed and supports bulk cleanup workflows. For more information, refer to the Review Macro Usages article.

Manage Columns

Customize the macro listing table by selecting which columns to display. This allows you to tailor the view based on relevant fields such as owner, sharing scope, or timestamps, improving visibility and efficiency when managing large macro sets.

Search

Quickly locate macros by name or keyword. Helps navigate large macro libraries efficiently.

Filters (Quick Filter)

Apply filters to refine the macro list based on criteria such as ownership, sharing, or other attributes. Enables faster navigation and focused management.

Refresh

Reload the macro list to reflect the latest updates and changes.

Macros Table

The Macros table displays all macros with key metadata:

Row-Level Quick Actions

Each macro in the listing provides quick actions to manage and review it efficiently.

Edit

Modify the macro’s configuration, including its actions, conditions, or content. For more information on the description of the fields, refer to the Create a macro article.

Activity

View the change history and activity logs associated with the macro. On the Activity pane at the right, you will be able to see if any changes have been made to the Macro. You can see the users who have made changes to the Macro, the type of change that has been made, and the date & time on which the change was made.

Edit Translation

Update translated versions of the macro for different languages to ensure consistent behavior across multilingual setups. For more information, refer to the Edit Translations.

Clone

Create a duplicate of the macro with the same configuration. Click Clone to create a copy.

View Usages

Open the usage details panel to see where the macro is applied across the platform, including dependencies (such as rules or other macros) and usage statistics. Helps assess impact before making changes. Displays high-level insights such as:

  • Last used timestamp
  • Usage count within selected time range

Delete

Click Delete in the confirmation pop-up to permanently remove the macro. Note that you can only delete the macros that you have created. If the macro is referenced in other workflows or configurations, a warning is displayed to help prevent unintended impact.

Advanced Capabilities

Edit Translation

The Edit Translation option allows you to create localized versions of macro fields for different languages. From this page, you can add translations for macro names and descriptions so that users interacting with the system can view content in their preferred language. This helps ensure consistency and improves usability for multilingual teams and end users.

On the Edit Translation page, select the language for which you want to create a translation in the Language drop-down.

The following fields can be customized for each language:

Source Name

This is the original name of the field, as defined in the Create Macros page. Enter the translated label that should appear to users in the selected language.

Description

Enter the translated version of the description.

Review Usages

Macros are used to execute multiple actions on an entity with a single click. Macros can be used to make multiple changes to entities at once, creating efficiencies in your workflows.

Within Macro Management, you can edit, clone, or delete a macro. Also, you can audit the activity performed on a Macro.

Manage a Macro

Follow these steps to perform any action on a macro:

  1. Click Launchpad or New Tab Space Add New Tab Icon. Under Platform Modules, select All Settings within Settings.

  2. On the left pane, expand General Settings, and then select Macros.

  3. Hover over the desired macro and click the Options icon .

  4. Select the required option:

    • Edit - Update the macro details in the Update macro window. Click Save to save the changes.

    • Clone - Enter a name for the cloned macro. Click Clone to create a copy.

    • Activity - View details such as

      • Changes made

      • Users who made the changes

      • Date and time of update

    • Delete - Click Delete in the confirmation pop-up to permanently remove the macro. Note that you can only delete the macros that you have created.

    • View Usages - View where and how a macro is being used across the platform. This option helps you identify the entities, workflows, or configurations where the selected macro is applied. It is useful for assessing the impact of a macro before making updates or deleting it.
