Roles

Roles and permissions are given to the users and allow them to access various accounts, features, and functionality within Sprinklr. You can also add new roles to your Sprinklr environment and set up with appropriate access and capabilities on the platform. 

To make sure that new users in your Sprinklr environment are set up with the appropriate access and capabilities in the platform, you need to ensure that their role is granted the right permissions.

Note: Adding users and defining roles and permissions is an admin feature. Users must have permission to perform these governing actions in an environment.

Global Roles

Global Roles help administrators manage access to products, modules, and features across multiple workspaces. You can create a Global Role from a predefined Standard Role or configure a Custom Role tailored to your organization's requirements.Global Roles are typically used by platform administrators to provide consistent access across users and user groups while maintaining governance and security.

Types of Global Roles

Standard Roles

Standard Roles are predefined role templates provided by Sprinklr and designed around common job functions and user personas.

Key characteristics:

  • Managed by Sprinklr.
  • Cannot be edited or deleted.
  • Can be used as a starting point for creating a Custom Role.
  • Available based on your organization's enabled products and entitlements.

To view the list of Standard Roles and Custom Roles available, use the drop-down available on the top of Global Roles and Workspace Roles pages. To configure the drop-down, click on your Profile icon, navigate to Preferences, choose Compact in the Page Density section.

To view the Standard Roles and Custom Roles in the form of tiles, click on your Profile icon, navigate to Preferences, choose Compact in the Page Density section.

Important: You cannot save an exact copy of a Standard Role. You must make at least one change before creating the new Custom Role.

​

Note: Access to the Standard Role feature is controlled by the dynamic property STANDARD_ROLES_ENABLED. To enable this feature in your environment, contact your Success Manager. Alternatively, you can submit a request at tickets@sprinklr.com.

Custom Roles

Custom Roles allow administrators to create organization-specific permission sets.

Custom Roles can be:

  • Created from scratch.

  • Created by cloning a Standard Role.

  • Modified at any time after creation.

Create a Global Role

  1. Click Launchpad or New Tab . Under Platform Modules, navigate to All Settings

  2. From the left pane, select User Management and then select Global Roles.

  3. Select Create Role.

  4. On the Create Global Role screen, fill in the following details:

    Description

    Role Info

    Name

    Enter a unique name for the role. Use a descriptive name that reflects the role's purpose, responsibilities, or the users who will be assigned to it.

    Description

    Enter information about the role, including its purpose, intended users, or any specific access requirements. This helps administrators understand and manage roles more effectively.

    Scope

    Determine where the role applies. Select

    • Global: The role applies across all workspaces in the environment.

    • Local: The role applies only to the workspaces selected during role configuration.

    Standard Role

    Role

    If you want to create a custom role using standard role, select the Standard Role to use its permissions as a starting point. Update the permissions and save it as a new custom role. Exact copies of Standard Roles can't be saved.

    Users and User Groups

    Assigned Users

    Select users to assign directly to the role. The selected users receive the permissions defined in the role, subject to role precedence and entitlement restrictions.

    Assigned User Groups

    Select user groups to assign to the role. All users within the selected groups inherit the role permissions.

    Note: In the Summary panel, click on the group name to view the users that belong to the group.

    Role Permissions

    Select the permissions to include in the role. Permissions are organized by product, module, feature, and action level, allowing you to control what assigned users can view, create, edit, or manage.

    Note: Permission descriptions are available at the product, module, feature, and action levels. This helps in understanding the access granted by each permission.

  5. Review the permissions and assignments in the Summary panel.

  6. Select Create.

​Important Information

Creating a Custom Role from a Standard Role

When you select a Standard Role:

  • Sprinklr automatically clones the role.
  • The role is created as a Custom Role.
  • You must modify the role before saving.
  • An exact copy of a Standard Role cannot be created.

View Assigned Users

The Summary panel displays:

  • Directly assigned users
  • Assigned user groups
  • Users that belong to assigned user groups

Select a user group in the Summary panel to view its members.

Permission Descriptions

Descriptions are available at the following levels:

  • Product
  • Module
  • Feature
  • Individual permissions such as View, Create, Edit, and Delete

These descriptions help administrators understand the purpose of each permission before assigning access.

Actions Available on the Global Roles Page

Depending on the role type, you can perform the following actions:

  • Clone - Create a new Custom Role using an existing role as a starting point.

  • View Permissions - View permissions assigned to the role.

  • Activity - Review the role's activity history.

  • Reassign User/User Group - Assign the role to different users or user groups.

Role Compatibility Notifications

When assigned users or user groups cannot access all permissions included in a role due to package, seat, product, or add-on limitations, Sprinklr displays a warning during role creation. The role can still be created and assigned.
