Create a Workspace Role

Overview

Workspace Roles allow administrators to grant access within a specific workspace. Unlike Global Roles, Workspace Roles affect users only in the workspace where the role is assigned.

Workspace Roles are useful when users require different permissions in different workspaces.

When to Use a Workspace Role

Consider using a Workspace Role when:

  • Users need different responsibilities across workspaces.

  • Workspace-specific access controls are required.

  • Global permissions should be overridden for a particular workspace.

On the Workspace Roles page, you can view the list of Standard Roles and Custom Roles using the drop-down available on the top of the page. To configure the drop-down, click on your Profile icon, navigate to Preferences, choose Compact in the Page Density section.

To view the Standard Roles and Custom Roles in the form of tiles, click on your Profile icon, navigate to Preferences, choose Compact in the Page Density section.

Create a Workspace Role

  1. Click Launchpad or New Tab . Under Platform Modules, navigate to All Settings

  2. From the left pane, select User Management and then select Workspace Roles.

  3. Select Create Role.

  4. On the Create Workspace Role screen, fill in the following details:

    Role Info

    Name

    Enter a unique name for the role. Use a descriptive name that reflects the role's purpose, responsibilities, or the users who will be assigned to it.

    Description

    Enter information about the role, including its purpose, intended users, or any specific access requirements. This helps administrators understand and manage roles more effectively.

    Standard Roles

    Roles

    If you want to create a custom role using standard role, select the Standard Role to use its permissions as a starting point. Update the permissions and save it as a new custom role. Exact copies of Standard Roles can't be saved.

    Users and User Groups

    Assigned Users

    Select users to assign directly to the role. The selected users receive the permissions defined in the role, subject to role precedence and entitlement restrictions.

    Assigned User Groups

    Select user groups to assign to the role. All users within the selected groups inherit the role permissions.

    Note: In the Summary panel, hover over the group name to view the users that belong to the group.

    Role Permissions

    Select the permissions to include in the role. Permissions are organized by product, module, feature, and action level, allowing you to control what assigned users can view, create, edit, or manage.

    Note: Permission descriptions are available at the product, module, feature, and action levels. This helps in understanding the access granted by each permission.

  5. Review the permissions and assignments in the Summary panel.

  6. Select Create.

Package and Entitlement Considerations

A role may contain permissions that exceed a user's package, seat type, or add-on entitlements.

On the Create User page, when this occurs:

  • The role can still be assigned.
  • A warning message is displayed.
  • Restricted permissions appear in the Role Summary.
  • Unavailable permissions appear grayed out.

This helps administrators understand why some permissions may not be available to a user after role assignment.
