Scheduled publishing and unpublishing let you control when Knowledge Base articles become available and when they are removed from view. You receive advance notifications before an article is unpublished, giving you time to review, update, or extend its availability. Follow‑up notifications confirm when unpublishing occurs, so you always understand the article’s current status. Configurable notification timing and system‑driven alerts help reduce missed updates, avoid unnecessary noise, and provide clear visibility into article lifecycle events.

Common Use Cases

Scheduled publishing and unpublishing help you manage when Knowledge Base articles are available, ensuring content stays timely, accurate, and relevant. The following use cases highlight how this capability supports common content management scenarios.

Plan and Manage Content in Advance

You can prepare articles ahead of time and schedule exactly when they should be published or unpublished. This makes it easier to manage a content calendar, coordinate releases, and maintain a consistent publishing cadence without requiring manual actions at the scheduled time.

Publish and Unpublish Across Time Zones

For global audiences, timing matters. Scheduled publishing and unpublishing let you select a specific date, time, and time zone, ensuring articles become available or are removed at the right moment for your target audience, regardless of where they are located.

Support Team and Organizational Workflows

In environments where multiple authors, reviewers, or approvers are involved, scheduling helps align content availability with team workflows. Articles can be approved in advance and set to publish or unpublish automatically, reducing last‑minute coordination and manual intervention.

Manage Planned Content Updates and Expiration

If an article requires updates, you can schedule it to be unpublished at a future date, make the necessary changes, and then schedule it to be republished. This is especially useful for time‑sensitive, seasonal, or policy‑driven content that should not remain visible indefinitely.

Note: You can schedule publishing and unpublishing for articles that are in a Ready to Publish or Approved state, using the specified date, time, and time zone.

Note: Any existing schedule is canceled if you perform one of the following actions. A warning message appears when this happens:

  • Manually mark the article as private.

  • Manually mark the article as public.

  • Move the article to a different Knowledge Base Category.

Configure Scheduled Publishing and Unpublishing

Prerequisites for configuring scheduled publishing and unpublishing of articles:

  • View, Create , and Approve / Reject / Hold permissions under the Knowledge Base section of the Service Cloud module.

  • The Knowledge Base Category in which the article is created must be mapped to a Community Category.

Follow these steps to configuring scheduled publishing and unpublishing of articles:

  1. Navigate to Knowledge Base on the Launchpad. This will open the Knowledge Base homepage.

  2. You can open the Set Schedule window in the following ways, depending on how you are working with articles:

    1. From the Knowledge Base homepage, select the More Actions (⋮) button next to the required article, then select Set Schedule to open the Set Schedule dialog box. From there, you can configure scheduled publishing or unpublishing.

      Note: You can also select multiple articles from the homepage and select Set Schedule from the toolbar to configure scheduling in bulk.

    2. While viewing or editing an article, select Schedule from the toolbar to open the Set Schedule dialog box directly.

  3. ​Fill in the required fields on the Set Schedule dialog box. Fields marked with a red star are mandatory. Below are the descriptions of the fields on this page:

    1. Name: Displays the name of the Knowledge Base article to confirm that you are scheduling the correct article. This field is read-only and is not shown when you select multiple articles for bulk scheduling.

    2. Language: Displays the language of the article. This field is read‑only and is not shown when you select multiple articles for bulk scheduling.

    3. Timezone: Select the time zone for the scheduled publishing and unpublishing actions. All selected dates and times are applied based on this time zone. (Required)

      Publish Schedule

    4. Notify before Publishing: Enable this toggle to receive a reminder before the article is published. By default, this toggle is disabled.

    5. Publish Date and Time: Select the date and time when the article should be published. (Required)

    6. Notification Date and Time: Select when you want to receive a notification before the scheduled publish time. This field is available only when the Notify before Publishing toggle is enabled.

      Unpublish Schedule

    7. Notify before Unpublishing: Enable this toggle to receive a reminder before the article is unpublished. By default, this toggle is disabled.

    8. Unpublish Date and Time: Select the date and time when the article should be unpublished.

    9. Notification Date and Time: Select when you want to receive a notification before the scheduled unpublish time. This field is available only when the Notify before Unpublishing toggle is enabled.

  4. Click the Schedule button to save and apply the configured publishing and unpublishing schedule for the selected article(s).

Edit Scheduled Publishing and Unpublishing

Editing scheduled publishing and unpublishing allows you to modify or update existing schedules to better align with changing content needs. You can adjust publish or unpublish dates, update notification timings, or remove schedules entirely as requirements evolve.

Prerequisites for editing scheduled publishing and unpublishing of articles:

  • View, Create , and Approve / Reject / Hold permissions under the Knowledge Base section of the Service Cloud module.

  • The Knowledge Base Category in which the article is created must be mapped to a Community Category.

Follow these steps to editing scheduled publishing and unpublishing of articles:

  1. Navigate to Knowledge Base on the Launchpad. This will open the Knowledge Base homepage.

  2. You can open the Edit Schedule window in the following ways, depending on how you are working with articles:

    1. From the Knowledge Base homepage, select the More Actions (⋮) button next to the required article, then select Edit Schedule to open the Edit Schedule dialog box. From there, you can edit scheduled publishing or unpublishing.

    2. While viewing or editing an article, select Schedule from the toolbar to open the Edit Schedule dialog box directly.

  3. ​Fill in the required fields on the Edit Schedule dialog box. These fields are the same as those used when configuring scheduled publishing and unpublishing.

  4. After entering the updated details, click the Schedule button to save and apply the revised publishing and unpublishing schedule.

    Note: Alternatively, select Clear Schedule and Submit to remove the existing publishing and unpublishing schedule from the article. The article will no longer follow any scheduled actions and will remain in its current state until you manually publish or unpublish it, or configure a new schedule.
