The Audio/Video Question enables survey creators to collect rich media responses directly from respondents, providing deeper insights beyond traditional text-based answers. Respondents can either record audio or video during the survey or upload supported media files, making it easier to capture tone, emotion, product demonstrations, visual evidence, and other contextual details that written responses may not fully convey.

With flexible configuration options, survey creators can control how respondents submit media, define supported response formats, and manage all submissions from a centralized view. Responses can be previewed directly within the platform, and audio and video submissions include transcript support, making it easier to review, analyze, and act on feedback at scale.

The Audio/Video Question helps organizations collect richer feedback by enabling respondents to share audio, video, and image-based responses that capture tone, context, and visual details. With flexible response options, survey creators can allow live recordings or file uploads, while maintaining controlled input through configurable recording limits and supported file types. All media responses are stored in a single, centralized view for simplified review, and automatic transcripts for audio and video submissions help teams analyze feedback more efficiently.

Prerequisites

You will need View, Edit and Delete permissions at the Program Level to access Survey Logics.

• View: You can access the Program and Sub-Program pages and view the Survey screen. However, you cannot add or edit actions. Access to existing surveys is governed by Survey-level permissions, even if you have View access at the Program level.

• Edit: You can create new surveys, create surveys through Record Manager, and edit surveys that you have created using the Survey Builder. This permission also grants access to the Builder at the survey level, allowing you to modify survey configurations and content based on your assigned survey permissions.

• Delete: You can delete surveys that you have created or have permission to manage. Delete access is controlled by your assigned survey-level permissions and determines whether you can permanently remove surveys from the system.

Setting Up Audio / Video Question

Navigate to Builder and move to Question Library and select Audio/Video.

Components of Audio / Video Question Type

To edit Audio/Video question, click anywhere within the question card. Using options present in the details pane on the right.

Question Layout

You can modify Audio/Video Survey Question type by referring to the following options:

1. Question Title: You can add the question title by clicking on the Question Title Option.

2. Font Size: Click Font Size to change the size of the title text.

3. Text Color: Click Text Colour to change the colour of the text.

4. Bold: Click Bold to bold the text.

5. Italic: Click Italic to make it italics.

6. Underline: Click Underline to underline the text.

7. Insert Link: Click to insert URL.

8. Add Bulleted List: Click to add bullets.

9. Add Numbered List: Click to create a numbered list.

10. Align: Assistance in aligning the text (to the left, right, or center) is needed.

11. Insert Table: Click to insert table.

12. Clear Formatting: Select to remove the formatting.

13. ​Placeholder: Click to incorporate placeholder text into the information piping of a question title externally, making it dynamic in nature.

    1. Survey Question Response: Response to one question can be added as a placeholder question title for another.

       Example: Capture name in first question and use them for other questions.

    2. Response Metadata: Essentially, it assists in gathering details regarding the particular browser and operating system that the respondent is utilizing. The Response Metadata is further divided into Browser Metadata and Survey Response Standard Fields.

    3. Contact Fields: Assists in gathering customer contact details such as their address, email address, and both first and last names.

    4. Profile Custom Fields: Helps to tag user profiles.

       Example: user type -advocate, influencer, detractor, etc.

    5. Case Fields: Case Custom Fields can also be added as placeholder text. Use the search bar to find your appropriate custom field and select it as Placeholder Text.

    6. Response Custom Fields: It is located in the anonymous section and chooses from the response custom field. When the respondent provides an answer, the particular custom field associated with it will be linked to that response.

       Example: If we receive a location response custom field from a particular site for a retail chain, it will be labeled here.

    7. Response Date: It records the exact moment when the response is obtained (in various formats). These are utilized in transactional surveys.

    8. Transaction Fields: Gathers details pertaining to any additional custom field.

Description

You can include additional information without affecting Logics, Analytics, or Exports related to the question. You can adjust the description by referencing various options available similar to the question field.

Choose the response mode

• Click the question card to open the details pane.

• Choose whether respondents will record live during the survey session or will additionally have the capability to upload files.

• A single Audio Video Question supports only one mode at a time though both options can be added for respondents to choose from.

  

  Note: You cannot record and upload for the same question.

Configure live recording

• If recording is selected, respondents can record audio or video live while taking the survey.

• Set the allowed duration limit in the builder.

• Use this mode when you want controlled, in-session responses captured directly at the time of answering.

  

Upload Details

If upload is selected, define what kind of file respondents are allowed to upload.

• Allowed Duration Range (in seconds): You can select the allowed durtaion in the builder, by selecting the minimum and maximum duration. You can use this mode when you want controlled, in-session responses captured directly at the time of answering.

• Allow file upload: You can toggle to allow file upload.

• Support File Format: If upload is selected, define what kind of file respondents are allowed to upload. Supported file format configurations are for:

  • Audio

  • Video

  • Images

• The upload flow can be configured to accept either an audio file, or a video file, or multiple images, based on the survey requirement.

• Use this mode when respondents are expected to share existing files instead of recording within the survey.

• File Size and Limit: Maximum file size per file: 25 MBs. Maximum file size in total: 50 MBs.

Question Media

Question Media files helps to attach media files to provide more context to the question. You can click Upload Asset to upload media files using Upload Media or select from Asset Library. You have the option to adjust the media size by clicking on the slider.

Media Attachement

You can include media files for further details by selecting the Add Media option. You have the ability to enable the media preview and also to download the media.

Question Text Variants

Modify the wording of the question without affecting the existing responses, ensuring that all responses remain associated with the same question.

You can change the formatting of the description by choosing the desired position. Options are available in the dropdown menu:

• Below the question title.

• Above the question title.

• Clone: You have the ability to clone a question without having to create that again.

• Edit Logic: The Edit logic option allows you to modify the logic of the question.

• Delete: Using delete option you can delete a question.

Question Settings

• Mark as required: Go to Settings and toggle Mark as required to make the question mandatory. Every mandatory question will be indicated by a small red dot.

  Error Message: You have the option to incorporate personalized Error Messages for questions that are mandatory. Translations for these custom error messages can be managed under the Translation section. Essential text formatting and styling can be applied to the error text, ensuring that critical guidance is clearly visible. Creators are empowered to use bold, italic, and underline, and to adjust font style, size, and color through the Styling Tab. This functionality is designed to enhance readability, fulfill branding requirements, and support accessibility. For respondents, this translates into errors and instructions that are easy to notice and understand, ultimately providing a smoother survey experience.

  

• Suggested Response: You will see a warning message if you leave the question unanswered, even when responding to the question is not required.

  

Preview

To validate the survey experience, click Preview Survey in the upper-right corner of the Survey Builder. This allows you to review how the question will appear to respondents and test the survey flow across different devices and screen sizes. While previewing, verify that the selected response mode behaves as expected, confirm that any configured upload restrictions correctly enforce the allowed file types, and ensure that recording options are available with the appropriate duration limits. After testing, review the analytics dashboard to confirm that all responses are being captured and recorded accurately.

Test and Validate the Audio Video Question

Before publishing your survey, preview and test the Audio Video Question to ensure respondents can submit media responses as intended.

• Validate the recording experience

  • Configure the question for Recording.

  • Test audio and video recordings (if supported).

  • Verify that respondents can successfully record and submit media.

  • Confirm that the configured recording duration limit is enforced.

• Validate the upload experience

  • Configure the question for Upload.

  • Test uploads using supported audio, video, and image file types.

  • Verify that unsupported file formats are rejected.

  • If multiple image uploads are enabled, confirm that respondents can upload multiple images successfully.

• Verify response mode configuration

  • Ensure that the question is configured for either Recording or Upload, as both modes cannot be enabled simultaneously.

  • Confirm that respondents are presented only with the selected response option.

• Review submitted responses

  • Submit audio and video responses through both recording and upload methods.

  • Confirm that transcripts are generated automatically for supported media.

  • Verify that the transcript accurately reflects the spoken content and language in the recording.

• Verify transcript generation

  • Review response data to ensure that all media submissions are captured correctly.

  • Confirm that uploaded files, recordings, and transcripts are available for analysis and reporting.

Best Practices

• Use recording mode when spontaneous, in-session feedback is more important than polished or edited responses.

• Use upload mode when respondents may need to share existing evidence, demonstrations, or media captured outside the survey session.

• Write clear question instructions so respondents know exactly what to submit and in which format.

• Keep recording duration limits practical so responses stay relevant and easier to review.

• Choose image uploads when visual proof is more useful than spoken explanation.

• Test the respondent flow on the intended device types before launching the survey.
