Scheduled Export

Sprinklr’s Scheduled Exports enables you to automate the delivery of survey response data, helping teams stay informed without manual effort. You can create recurring exports and manage them from a dedicated Scheduled Exports record manager available within the Survey Responses tab. This centralized view allows you to monitor, update, and control all scheduled survey response exports from a single location.

With the Scheduled Exports record manager, you can view all survey response export schedules and perform a variety of actions, including Edit, Clone, Trigger Now, Share, View Activity, and Delete. You can also quickly activate or pause scheduled exports using a toggle, giving you greater control over how and when survey response data is distributed

By consolidating all scheduled survey response exports in one place, this enhancement simplifies export management, improves operational efficiency, and helps ensure stakeholders consistently receive the insights they need.

Prerequisites

Access to this feature is controlled by a dynamic property (DP: ENABLE_EXPORT_FILENAME_CONVENTION, EXPORT_ENCRYPTION_ENABLED_FOR_ALL_DATA_SOURCES and CFM_SURVEY_RESPONSE_EXPORT_MAX_ROWS ). Setting Up Scheduled Exports

The navigation steps are listed below:

  1. Open a Survey and then navigate to Response.

  2. Click More Actions and then go to Scheduled Survey Exports.

  3. Click + Create Scheduled Export and then start configuring scheduled export by filling the details:

    1. Navigate to Export Details section and fill in the details:

      1. Export Format: Choose the export format from the drop-down menu: Excel, CSV, or JSON.

      2. Date Range: Select the date range by clicking on the date range filter.

      3. Export File Name Format: Enter the file name format. You can even add the placeholders.

        Note: Ensure the field does not contain invalid separators such as '/' or '\' or space.

      4. Export Folder Name: Enter the Title on the cover of Exported File and of the Scheduled report.

      5. Skip Empty Export: Toggle to skip the empty export.

      6. Response View in Export: Select the response view from the drop-down. This option remains disabled until CSV, Excel or JSON is selected in export format.

      7. Set Owner: By default, you are selected as the Owner when creating a scheduled export, but you can choose a different owner if needed.

      8. Click Next.

    2. Go to Export Settings section and fill in the details:

      1. Navigate to Export Settings.

        1. Schedule Type: You can select a schedule type based on your export requirements, including Download Immediately, Minutes, Hourly, Daily, Weekly, Monthly, or a Custom schedule.

        2. End Date: Select the end date from the date range filter.

      2. Navigate to External Storage from the drop-down or create + Add new storage and then select the storage in FTP/SFTP/GCS/S3 (requires configuration) and click Add & Select.

      3. Navigate to Email Configuration section and fill in the details:

        1. Add Recepient: You can add user and user group as receipents, you can also add email id of external users.

        2. Add Bcc Recipients: You can include users and user groups as BCC recipients, and you can also add the email addresses of external users.

        3. Add Guests: You can select user/user groups who you would like to add a guests.

        4. Send me a copy of export: Toggle to send a copy of the export to yourself.

        5. Subject: Enter subject line for the email.

        6. Sender: Enter sender's Email ID.

        7. Reply to: Enter Email ID of users to send reply to.

        8. Email Footer Note: Enter footer note.

        9. Custom Email Text: Toggle and write a custom text for the email body.

        10. Click Save.

Scheduled Exports Record Manager Layout

The Report Manager displays all scheduled exports created within CFM Custom Dashboards, showing every export configured for dashboards in the same environment.

Status

Indicates whether scheduled exports are currently active or inactive.

Export Name

Captured the name of the export.

Dashboard

Records the dashboard's name.

Owner

Documents the name of the owner responsible for its creation.

Scheduled Time

Captures the time when the export was scheduled.

Tags

Indicates any tags to the export.

Created Time

Records the time at which the export was generated.

Modified Time

Records the time at which the export was altered.

Recepient User Groups

Contains information regarding the user group.

Recepient Email IDs

Retain information concerning the recipient's Email ID.

Scheduled Exports Record Actions

Each scheduled export in the Record Manager supports the following actions through the vertical ellipsis menu:

Modify an existing scheduled export configuration, including export settings and schedule details.

Clone

Create a copy of an existing scheduled export to quickly configure a similar export.

Trigger Now

Run a scheduled export immediately, without waiting for the next scheduled execution.

Share

Share a scheduled export with other users for collaboration and visibility.

Activity

View the activity history associated with a scheduled export.

Delete

Remove scheduled exports that are no longer required.

Activate / Pause

Enable or temporarily disable scheduled exports using a toggle control.
