Email Publishing Limits

Updated

Email publishing limits are determined by the email service provider (ESP) and the subscription or license associated with the email account. When you configure an email account in Sprinklr, it is important to understand the provider-imposed limits that can affect message delivery, throttling, and bulk publishing operations.

For example, Microsoft Exchange Online enforces sending limits based on the customer's Exchange Online plan. These limits are defined and managed by Microsoft and apply regardless of whether emails are sent directly from Exchange or through Sprinklr.

Important: Sprinklr does not impose additional email sending limits for Sprinklr Sites. However, all limits enforced by the configured email service provider continue to apply.

Identify Your Email Service Provider

When investigating email delivery issues, first identify the email service provider associated with the email account.

Common providers include:

  • Microsoft Exchange Online
  • Gmail
  • Other third-party email service providers

Sending limits, throttling behavior, and delivery recommendations vary by provider. Always refer to your provider's documentation for the most current limits applicable to your account or subscription.

Microsoft Exchange Online Sending Limits

Microsoft Exchange Online applies sending limits based on the Exchange Online plan associated with the mailbox.

For the latest information, see Microsoft's official documentation: Exchange Online Limits

Common Exchange Online Limits

The following limits apply across most Microsoft 365 and Exchange Online plans.

Limit

Value

Recipient rate limit

10,000 recipients per day

Recipient limit per message

Up to 1,000 recipients

Recipient proxy address limit

Approximately 300 addresses

Message rate limit

30 messages per minute

Encrypted message recipient limit

Approximately 200 recipients

Note: Actual limits may vary depending on your Microsoft subscription and licensing plan.

Recipient Rate Limit

The recipient rate limit is the maximum number of recipients that a mailbox can send messages to during a rolling 24-hour period.

This limit includes both internal and external recipients.

Example

A mailbox sends:

  • 5,000 recipients at 9:00 AM
  • 2,500 recipients at 10:00 AM
  • 2,500 recipients at 11:00 AM

The mailbox reaches the 10,000-recipient limit. Additional sends may be restricted until recipients fall outside the rolling 24-hour window.

Delegate Access

If a user sends email on behalf of another mailbox, recipient counts are applied to the sending user's account rather than the mailbox being used.

Recipient Limit Per Message

The recipient limit specifies the maximum number of recipients that can be included in a single email message across the To, CC, BCC fields.

Exchange Online supports up to 1,000 recipients per message. Organizations can configure lower limits if required.

Recipient Proxy Address Limit

A mailbox can contain multiple email aliases or proxy addresses.

Exchange Online supports approximately 300 proxy addresses per mailbox, although the actual limit may vary depending on address length and configuration.

Message Rate Limit

The message rate limit defines how many messages a mailbox can submit per minute.

Exchange Online may throttle or reject messages when the sending rate exceeds the configured threshold.

Sprinklr Recommendation

To help avoid Exchange Online throttling, Sprinklr recommends sending 30 emails per minute or fewer per account.

This is a Sprinklr operational best practice and is not an additional limit imposed by Sprinklr.

Tenant-Level External Recipient Limits

Exchange Online also enforces limits on outbound email sent to external recipients.

Tenant External Recipient Rate Limit (TERRL)

The Tenant External Recipient Rate Limit (TERRL) defines the maximum number of external recipients a tenant can email during a rolling 24-hour period.

An external recipient is any recipient whose domain is not configured as an accepted domain in the Microsoft 365 organization.

Administrators can view their tenant limit in: Exchange Admin Center → Reports → Mail Flow

Additional Considerations

  • Trial tenants are limited to 5,000 external recipients per day.
  • Distribution groups are expanded before counting recipients.
  • Each member of a distribution group contributes individually to the recipient count.

For high-volume outbound email requirements, Microsoft recommends using a dedicated email delivery service such as Azure Communication Services Email rather than Exchange Online.

onmicrosoft.com Domain Restrictions

Microsoft applies additional outbound restrictions to the default onmicrosoft.com domain.

Limit

  • Maximum of 100 external recipients per organization during a rolling 24-hour period.

Notes

  • The restriction applies only to outbound mail.
  • Inbound mail is unaffected.
  • Distribution groups are expanded before recipient counts are calculated.
  • When the limit is exceeded, Exchange Online may return an NDR similar to: 550 5.7.236

Bulk Publishing Considerations

Exchange Online is designed for business communications and is not intended to function as a bulk email delivery platform.

High-volume publishing can result in:

  • Message throttling
  • Delayed delivery
  • Rejected submissions
  • Reduced sending performance

For large-scale email publishing, Sprinklr recommends that you:

  1. Verify your Exchange Online plan and applicable limits.
  2. Monitor recipient and message-volume thresholds.
  3. Keep message rates within recommended limits.
  4. Avoid using Exchange service accounts for bulk publishing.
  5. Consider a dedicated email delivery solution when publishing volumes exceed Exchange Online's intended usage.

Exchange Versus Sprinklr Responsibilities

It is important to distinguish between provider-enforced limits and Sprinklr functionality.

Area

Responsibility

Recipient limits

Microsoft Exchange Online

Message rate limits

Microsoft Exchange Online

Tenant external recipient limits

Microsoft Exchange Online

License-specific restrictions

Customer's Microsoft subscription

Email publishing through Sprinklr

Subject to provider limits

Additional Sprinklr sending limits

None

In other words, Sprinklr sends email through the configured email account, but the email service provider ultimately controls sending limits, throttling policies, and delivery restrictions.

Troubleshooting Email Publishing Issues

If emails are delayed, throttled, or not delivered as expected, use the following troubleshooting approach.

1. Identify the Email Provider

Determine whether the account uses:

  • Microsoft Exchange Online
  • Gmail
  • Another email service provider

2. Verify the Subscription or License

For Exchange Online, confirm the specific Microsoft 365 or Exchange license associated with the mailbox.

3. Review Provider Limits

Check:

  • Recipient rate limits
  • Recipients per message
  • Message rate limits
  • External recipient limits

4. Review Sending Activity

Determine whether the mailbox or tenant is approaching or exceeding provider limits.

5. Evaluate Publishing Volume

If the mailbox is used for bulk publishing, assess whether a dedicated email delivery service would be more appropriate.

6. Determine the Source of the Limitation

If Exchange Online is throttling or blocking messages, the behavior originates from the email provider and is not a Sprinklr-imposed restriction.

Sprinklr does not impose additional email sending limits. All email publishing activity remains subject to the limits, throttling policies, and delivery controls enforced by the configured email service provider. For Microsoft Exchange Online accounts, customers should regularly review Microsoft's published limits and ensure their publishing volumes align with their subscription's intended usage.
