Gmail IMAP Integration: Limitations and Best Practices

When you integrate a Gmail account with Sprinklr using IMAP, Gmail imposes sending limits and reliability constraints that cannot be configured in Sprinklr.

For high-volume or customer support use cases, do not use direct Gmail IMAP integration. Instead, use Sprinklr SES email accounts with Gmail auto-forwarding for better scalability and reliability.

Gmail Sending Limits

Gmail IMAP integration supports up to 2,000 emails in a rolling 24-hour period.

Note: The limit follows a rolling window, not a fixed daily reset. For example, if you send 2,000 emails between 10:00 AM and 3:00 PM, sending resumes only as earlier emails fall outside that 24-hour window.

When the limit is reached:

  • Outbound emails fail to send
  • Agents cannot respond to customers
  • Customer communication may be disrupted

Operational Impact

Exceeding Gmail limits can affect support operations, especially during peak volumes.

You may experience:

  • Unsent customer emails
  • Delayed responses
  • Increased agent workload
  • Service disruption during high-demand periods

Even if your typical volume is low, spikes during campaigns or incidents can trigger these limits.

Reliability Considerations

Gmail IMAP is not designed for enterprise-scale support workflows. You may encounter:

  • Delayed email synchronization
  • Slow retrieval due to polling
  • Reduced reliability under high volume

Because of these limitations, Gmail IMAP is not recommended for production environments.

Preserve Gmail Address with Auto-Forwarding

If you need to retain your Gmail address, configure auto-forwarding to your Sprinklr SES account.

  • Forwards incoming Gmail messages to Sprinklr
  • Improves processing reliability
  • Increases effective sending capacity (up to 10,000 messages)

This approach keeps your customer-facing email unchanged while using Sprinklr’s infrastructure.

Alternative Option

If you use Microsoft services, consider Exchange mailboxes, which are better suited for enterprise workloads.

However, Sprinklr SES remains the recommended option for maximum scalability and reliability.
