Delegate Management in Advocacy

Overview

Delegate Management allows executives and leaders to safely assign someone else to manage advocacy tasks on their behalf, without sharing login credentials. This enables leaders to stay active on social media while assistants or communication managers handle day-to-day work in the Advocacy platform.

Why Delegate Management Matters

Many executive users want to participate in advocacy programs but don’t always have the time to log into the platform, find relevant content, or share and schedule posts themselves. Without delegation, each user must manage their own profile independently, which limits efficiency and adoption.

Delegate Management solves this by enabling secure, permission-based access for trusted team members, allowing advocacy activity to continue without adding operational burden to leaders. This feature is designed for:

  • Delegators – Typically Senior Leadership Team (SLT) or Executive Leadership Team (ELT) leaders who want to delegate advocacy tasks

  • Delegates – Assistants or communication managers who act on behalf of delegators

  • Admins – Users who control who can assign delegates and who can act as one

When acting on behalf of a delegator, delegates can perform key advocacy actions such as sharing posts, liking and commenting on content, and scheduling posts. All delegated actions are clearly identified as being performed on behalf of the delegator, ensuring transparency and accountability.

Permissions and Governance

  • Delegators must belong to approved roles (e.g., SLT/ELT) configured in the Admin Console.

  • Delegates must be members of the site’s Community User base.

  • Once a delegate is selected and accepts the delegation request, the delegator’s content segmentation becomes visible to the delegate when the relevant delegator filter is applied.

  • Activity logs and notifications are enabled for both delegator and delegate to ensure full traceability of actions performed on the delegator’s behalf.

How to Navigate to Delegator Permissions Section

  1. Admin Console

    • Navigate to Admin Console → Roles and Permission->Delegator Permissions (New permission in Roles and permission section)

    • Assign the Delegator Permissions role to users who should be allowed to add or remove delegates.

    • Only users with this permission will see delegate management options in their UI.

    • The delegate selection list displays all available Community Users.

    • Delegator View – Add Delegate

      • Go to Delegator Widget → Manage Delegates.

      • Open the Add Delegate modal.

    • Search and select from existing Community Users.

  2. Delegate View – Switch Button

    • Navigate to the Content Dashboard.

    • Use the "Switch Delegate View" button to view content by specific delegators.

    • The filter displays a list of delegator accounts assigned to the delegate.

  3. Delegation Rules

    • Each delegator can assign only one delegate.

    • Each delegate can be assigned to a maximum of five delegators.

How to Manage Delegates

1. Assigning/Adding a Delegate

Only users with the Add Delegate permission can assign delegates (configured under a new Delegate Permissions section in Admin Console).

  1. Click Add Delegate in the Advocacy platform.

  2. Search and select existing community users.

  3. Select the channel accounts which they want to delegate.

  4. Send the request.

2. Accepting or Rejecting a Delegation Request

Delegates receive a notification:

  • By email (which links back to the platform)

  • In the platform notification center - they receive announcements upon logging in the platform that they have been chosen as a delegate.

They can accept or reject the request:

  • If accepted, they gain access to a filter on the Home Page where they can filter out contents based on accounts.

  • If rejected, the delegator is notified by the mail.

3. Removing Delegates

Delegators can remove delegates at any time:

  • Access is revoked immediately upon removal

  • The delegate is notified

  • To change delegates, the existing delegate must be removed before adding a new one.

4. Editing Delegator’s Account

  • Delegators can revoke a delegate’s access to specific accounts. Note: The Edit Account option has replaced the earlier Select Accounts option.

  • Delegates are notified, and the changes take effect after a forced logout or page refresh.

  • If an account expires or is deactivated, the delegate is notified, but only the delegator can reactivate it.

  • Once reactivated, the delegator must notify the delegate.

How to Switch Between Accounts as a Delegate

Delegates can easily switch between:

  • Their own account

  • A delegator’s account (one at a time)

When a delegator’s account is selected:

  • Only that account’s content is visible

  • All actions apply only to that delegator

This clear separation helps avoid mistakes and ensures accuracy.

Notifications and Activity Logs

  • Delegate notifications:

    • “You shared content on [Channel Name] while acting as a delegate for [Name].”

    • “You scheduled content on [Channel Name] while acting as a delegate for [Name].”

  • Delegator notifications:

    • “[Delegate] posted content on [Channel Name] on your behalf.”

    • “[Delegate] scheduled content on [Channel Name] on your behalf.”

  • Gamification points, badges, and reward tokens are awarded to the respective account owners, with corresponding notifications sent.

  • Notification delivery channels include in-platform alerts and configurable email notifications.
