Delegate Management in Advocacy

Overview

Management of Social Media Managers allows executives and leaders to safely assign someone else to manage advocacy tasks on their behalf, without sharing login credentials. This enables leaders to stay active on social media while assistants or communication managers handle day-to-day work in the Advocacy platform.

Why Delegate Management Matters

Many executive users want to participate in advocacy programs but don’t always have the time to log into the platform, find relevant content, or share and schedule posts themselves. Without delegation, each user must manage their own profile independently, which limits efficiency and adoption.

Management of Social Media Manager solves this by enabling secure, permission-based access for trusted team members, allowing advocacy activity to continue without adding operational burden to leaders.

This feature is designed for the following roles:

  • CXOs: Typically Senior Leadership Team (SLT) or Executive Leadership Team (ELT) leaders who want Social Media Managers for advocacy tasks. 

  • Social Media Managers: Assistants or communication managers who act on behalf of CXOs. 

  • Admins: Users who control who can assign Social Media Managers and who can act as one. When acting on behalf of a CXO, Social Media Managers can perform key advocacy actions such as: 

  • Sharing posts 

  • Liking content 

  • Commenting on content 

  • Scheduling posts 

All Social Media Manager actions are clearly identified as being performed on behalf of the CXO, ensuring transparency and accountability. 

Permissions and Governance

Delegate Management includes governance controls to ensure secure and responsible usage. 

  • CXOs must belong to approved roles (for example SLT or ELT roles) configured in the Admin Console’s Permission page with “Add Delegate” permission assigned

  • Social Media Managers must be members of the site’s Community User base

  • Once a Social Media Manager accepts the delegation request, the CXO’s content segmentation becomes visible to the Social Media Manager when the relevant CXO filter is applied. 

  • Activity logs and notifications are enabled for both CXO and Social Media Manager to ensure full traceability of actions performed on the CXO’s behalf. 

How to Navigate to the CXO Permissions Section 

  1. Navigate to Admin Console

  2. Go to Roles and Permissions

  3. Select “Add Delegate” Permissions (new permission in the Roles and Permissions section). 

  4. Assign the “Add Delegate” Permissions role to users who should be allowed to add or remove Social Media Managers. 

Note:

  • Only users with this permission will see Delegate management options in their UI. 

  • The Social Media Manager selection list displays all available Community Users

CXO View – Add Social Media Manager 

CXOs can add Social Media Managers using the Delegate Management interface. Here are the steps to guide you through the process:

  1. Go to Delegator Widget → Manage Delegates

  2. Open the Add Delegate modal

  3. Search and select users from existing Community Users

Social Media Manager View – Switch Button 

Social Media Managers can switch between CXO accounts. Here are the steps to guide you through the process:

  1. Navigate to the Content Dashboard

  2. Use the Switch Delegate View button. 

  3. Select the CXO whose account you want to manage. 

The filter displays a list of CXO accounts assigned to the Social Media Manager

Delegation Rules 

The following rules apply to delegation relationships: 

  1. Each CXO can assign only one Social Media Manager

  2. Each Social Media Manager can be assigned to a maximum of five CXOs

How to Manage Social Media Managers 

1. Assigning / Adding a Social Media Manager 

Only users with the Add Delegate permission (configured in the Admin Console) can assign Social Media Managers. Here are the steps to guide you through the process: 

  1. Click Add Delegate in the Advocacy platform.

  2. Search and select existing Community Users.

  3. Select the channel accounts you want to Social Media Manager. 

  4. Send the request. 

1.1 Adding Social Media Manager through Account Widget 

CXOs can add Social Media Managers directly from the Account Widget

1.2 Add Social Media Manager through Your Profile 

CXOs can also add Social Media Managers from the Profile settings page

2. Accepting or Rejecting a Delegation Request 

Social Media Managers receive notifications when they are invited to become a Social Media Manager. The Notifications are delivered through: 

  • Email (which links back to the platform)

  • Platform notification center — announcements appear upon logging in. 

Social Media Managers can then: 

Accept the request 

If accepted: 

  • The Social Media Manager gains access to a filter on the Home Page 

  • The Social Media Manager can filter content based on CXO accounts 

Reject the request 

If rejected: 

  • The CXO is notified. 

3. Removing Social Media Managers 

CXOs can remove Social Media Managers at any time. When a Social Media Manager is removed: 

  • Access is revoked immediately 

  • The Social Media Manager is notified 

  • To change Social Media Managers, the existing Social Media Manager must be removed first.

 

4. Editing the CXO’s Account 

CXOs can revoke a Social Media Manager’s access to specific accounts. The Edit Account option replaces the earlier Select Accounts option

When changes occur: 

  • Social Media Managers receive a notification 

  • Changes take effect after forced logout or page refresh 

If a social account expires or is deactivated

  • The Social Media Manager is notified 

  • Only the CXO can reactivate the account 

Once reactivated, the CXO must notify the Social Media Manager. 

How to Switch Between Accounts as a Social Media Manager 

Social Media Managers can switch between: 

  • Their own account 

  • CXO’s account (one at a time) 

When a CXO account is selected: 

  • Only that account’s content is visible 

  • All actions apply only to that CXO 

This separation helps avoid mistakes and ensures accuracy. 

Notifications and Activity Logs 

When Social Media Managers perform actions on behalf of CXOs, notifications and activity logs are generated. 

Social Media Manager Notifications 

Examples include: “Post was successfully shared on behalf of {DelegatorName} to {SocialChannel}." 

CXO Notifications 

Examples include: “Success! Your post is now live on {SocialChannel}” 

Gamification and Rewards 

When actions are performed through delegation: 

  • Gamification points 

  • Badges 

  • Reward tokens 

are awarded to the account owner (CXO)

Corresponding notifications are sent to inform users of earned rewards.

  • Configurable email notifications

Social Media Manager Invitation Notification 

The Social Media Manager Invitation Received notification must be enabled for delegation requests to appear. 

If this notification is disabled: 

  • The invited user will not see the delegation request pop-up 

  • Social Media Managers may not realize a request has been sent 

  • Delegation workflows may be delayed
