Add, Manage, Remove Delegates in Distributed Platform

Overview

Distributed users can now add delegates who can work within the Distributed platform, abiding by the permissions given by the distributed user. The delegate invited by the user to the platform can access some/all the accounts for which the Distributed user is the Account Owner.

The capability of the Distributed user to delegate tasks to another user makes sure that no task remains pending, in case a user is not available for work. The user can invite another user as a delegate who can perform the tasks and handle accounts for which the inviter is the account owner. Besides, if the amount of work rises up significantly, adding delegates and getting tasks done will keep the work under control, while the work will be done smoothly.

  • Ensures that tasks like publishing content, and responding to leads are completed even when the advisor is unavailable. 

  • Facilitates teamwork by allowing multiple delegates to work on different accounts. 

  • Provides round-the-clock social media management by having multiple delegates in various time zones.  

  • Ensures effective workload management, in case of significant increase in workload.  

Pre-Requisites

  • Feature DP - DELEGATE_PROFILE_MANAGEMENT_ENABLED* (Main Feature to be enabled)

  • Permissions(Setup→ User) - Create, Edit*, Add Delegate*, Allow Delegates From Other Workspaces, Manage Delegated Accounts

Distributed users should be able to create and add delegates to their social media accounts.They should be able to add delegates from other workspaces as well. There are many variations to the way a Distributed user can add a delegate depending on the combination of the permissions they have.

Use Cases and Permissions

  • As an advisor, I want to carry out my day-to-day activities by inviting delegates to perform all tasks on my behalf in my absence. 

  • With multiple accounts linked to my profile, I can have several delegates assist me and choose which accounts they can access. 

  • When I, as an advisor, lack the time to regularly log into the platform, I can use this feature to have another user monitor and manage my social media accounts.

Level 1: Basic permissions

  • User should only have “Add Delegate” Permission.

  • Users would be created from Space by the admins. DST users would simply have to select delegates for their respective accounts. No external users can be added here.

Level 2: Intermediate permissions

  • User should have “Create User” and “Add Delegate” Permissions.

  • Users can add external users as delegates. They will be added as Sprinklr users. They cannot add members from other workspace.

Level 3: Complete permissions

  • Users should have “Create User”, “Add User” and “Allow Delegates From Other Workspaces” Permissions.

  • Users can create users and also add users from other workspaces as delegates.

Adding and Removing Delegates

To Invite a Delegate and Assign Accounts at the Same Time

  1. Log in to the Distributed environment.

  2. Click the Profile icon in the bottom left corner and select Settings from the popup window.

  3. Go to the Workspace Settings tab.

  4. Click Delegates. Then click the dropdown icon adjacent to Add Member in the top right corner, and click Add Delegate.

  5. Enter the email address of the delegate, and click Enter/Return.

  6. When the delegate added is already present as a user in Sprinklr then Add Delegate button will be visible at the bottom.

  7. When the delegate is not added as a user in Sprinklr then Create Delegate button will be visible at the bottom.

  8. When you do not have the required permissions to add a delegate, this message pops up on the UI.

  9. Click Add Delegate/ Create Delegate at the bottom right corner.

  10. In the Create Delegate window, enter the First Name and the Last Name of the delegate.

  11. Enter the accounts you want to share with the delegate.

  12. Click Create Delegate in the bottom right corner.

  13. Once the Delegate is added, Delegate start showing up in the list of the Delegates in the Workspace Settings tab.

  14. The delegate also receives a notification mail in the added email address.

To Add/Remove Delegates for an Account from the Accounts Section

  1. Log in to the Distributed environment.

  2. Click the Profile icon at the bottom left corner. Click Settings.

  3. Click the Account. Hover over the Options icon, and click Edit Account.

  4. Under Select Delegate for this account, select the Delegate. You can also remove a Delegate from here.

  5. Click Save in the bottom right corner.

Note:

1. You can add multiple Delegates to an Account.

2. When you add a Delegate to an Account, the Delegate will get all the permissions that you have.

To Add/Remove Delegates for an Account from the Workspace Settings

  1. Log in to the Distributed environment.

  2. Click the Profile icon at the bottom left corner. Click Settings.

  3. Go to the Workspace Settings tab.

  4. Click Delegates. You will see the list of existing Delegates.

  5. Click the Options icon adjacent to the delegate you want to remove and click Edit.

  6. Select the accounts which you want to add/remove for a particular delegate from the drop down.

  1. Add Delegate: No new user can be added i.e. only an existing user from the same workspace can be added.

  2. Add Delegate + Allow Delegates From Other Workspaces: Only existing users can be added from across the workspaces as delegates and the user is not allowed to create any new delegates.

  3. Add Delegate + Allow Delegates From Other Workspaces + Create User: Existing users can be added from all workspaces and can create new users to assign them as delegates.

  4. Add Delegate + Create User: If the user exists in a different workspace, then the user is not allowed to add them as a delegate. And if the user exists in the same workspace then they can be added as a delegate, or a new delegate can also be added.
