Assigning Guided Workflow Ownership

Overview

To ensure continued access and ownership of Guided Workflows after a user becomes inactive or deleted, Sprinklr supports automatic ownership reassignment using the Secondary User field in User Settings. This enhancement is designed to maintain operational continuity, particularly during offboarding or unplanned user deactivations.

Previously, Guided Workflows created by a user were only visible to:

  • The original creator

  • Any other users they explicitly shared the workflow with

However, if a user is deactivated without sharing their GWs, those workflows became inaccessible to others, creating a visibility and control gap for teams and admins.

How it works

Sprinklr extends the functionality of the Secondary User field to support ownership fallback for Guided Workflows.

When a primary user becomes inactive or is deleted, all Guided Workflows the primary users created, even if unshared, will be automatically reassigned to their configured Secondary User.

Enabling this feature

  1. Go to User Settings > Basic Info.

  2. Locate the Secondary User field.

  3. Select the fallback user you want to receive ownership in case of your deactivation.

  4. Save your changes.
