Add Signatures in Distributed

This feature enables distributed users to add and manage their signatures within the Distributed platform. The signature usually includes content that a user would want to incorporate, irrespective of whosoever the mail/message is being sent to. Signatures may consist of details about the users' designation or professional position. They may also include hashtags, website or social profile links, a piece of content that is a relevant part of terms and conditions, etc.

Use Cases

  • A sales representative includes their designation, company logo, and contact information in their email signature.

  • Support agents include a link to the company’s FAQ or help center in their email signatures.

  • Customer service emails include a disclaimer or legal notice as part of the signature.

Benefits

  • Standardizes signatures across the organization, ensuring that all communications are uniform and aligned with company standards.

  • Allows for the inclusion of marketing messages, such as promotional links or hashtags, directly in the email signature, increasing marketing reach.

    Note: User Signatures can be set up by the user or the admins on three levels.

  • Default Signature - If not specified explicitly, this will be the default signature for all messages.

  • Channel-specific signatures - Configure custom signatures for specific channels. This will override the default signature.

  • Account-specific signatures - Configure custom signatures for specific accounts. This will override channel-specific and default signatures.

Steps to Add Signatures in Distributed

  1. Log in to the Distributed environment.

  2. Click Profile & Settings at the bottom of the Menu bar to the left.

  3. Select Settings and Click on User Signature.

  4. In the User Signature tab, click Add under the Default Signature and enter the signature you want to add.

  5. Click Channel-specific signatures, choose the channel, add the channel-specific signature, and then click Save.

  6. Click Account-specific signatures, choose the account, add the account-specific signature, and then click Save.

    Note: For the Email Account/Channel, you will get the rich text editor to add your signature.
