A Quota in survey settings sets a limit on the number of responses allowed from specific respondent profiles based on user-defined conditions. This helps ensure balanced and controlled data collection from targeted groups. For example, if a company wants to collect 500 responses from participants in India and 300 from the UAE, they can set up two quotas: one with Location = India and a count limit of 500, and another with Location = UAE and a count limit of 300. Once these limits are reached, any additional respondents meeting those criteria will be redirected to a "Quota Fulfilled" page, preventing further submissions.

Prerequisites

Quotas are available in surveys under the Survey Settings tab and requires Survey Admin role or higher.

Setting Up Quotas

  1. Navigate to Survey and go to Settings and select View Quotas.

  2. Click + Create Quota.

  3. Go to Create Quota page and fill details:

    1. Name: Enter a name of the quota.

    2. Quota Limit: Define the quota limit.

    3. Enable Conditions: Optionally, set conditions using AND/OR operators (e.g., Location = India, AND Score > 70).

      1. Set Priority Order: Set priorities to establish which quota should be implemented when several conditions coincide.

  4. Click Save and Activate the Quota: Toggle to activate the quota to begin monitoring responses.

Note: You can evaluate by establishing test quotas with specified criteria (for instance, Location = UAE, Count Limit = 10), simulating responses that conform to those criteria, and confirming that the responses cease upon reaching the limit, while any extra participants are redirected to the Quota Fulfilled page.

Key points to note

Single Survey Scope: Quotas apply only to the survey where they are created.

Condition Complexity: Too many conditions may complicate setup and management.

Quota Overlap: Overlapping quotas rely on priority order, which requires careful planning.

Manage Quotas

You can toggle to enable the Survey Quota. You can find the following columns on the Quota Record Manager:

  • Name: The title of the Survey Quota is hosted by.

  • Count Limit: Indicates the maximum limit for the Survey Quota.

  • Current Count: Displays the present number of Survey Quota.

  • % Completition: Displays the percentage of completion.

  • Priority Order: Displays the order of priority for the Survey Quotas.

  • Owner: Indicates the name of the owner who established the Survey Quota.

Click the Vertical Ellipsis() against any of the Survey Quota:

  • View: Click on View to see the Survey Quota.

  • Edit: Select Edit to modify the Survey Quota.

  • Clone: Select Clone to create a copy of Survey Quota.

  • Edit Priority Order: You can edit the priority order.

  • Reset Quota Count: You can reset the quota count.

  • Schedule Reset Quota Count: You can choose the date for the reset and decide how frequently it takes place.

  • Delete: You can delete the Survey Quota.

  • Before launching surveys, test the quotas using dummy data to verify proper redirection.

  • Utilize precise and rational criteria to prevent any overlaps or uncertainties.
