Setting Up Conversational Survey

Conversational Surveys let you collect feedback through chat-like interfaces, making the process more interactive and user-friendly. By using conversational design, you make it easier for people to complete surveys and boost your response rates. This approach helps you drive higher engagement, gather better-quality data, and create a more enjoyable experience for your respondents.

Prerequisites

Access to this module requires the Program Level View, Edit, and Delete permissions, which are available under the CFM App under roles:

  • View: This permission gives you access to view the Programs.

  • Edit: This permission gives you access to edit Programs.

  • Delete: This permission gives you access to delete Programs.

Setting Up Conversational Surveys

Any survey that has been created can be shared as a conversational survey. To see how the survey appears in conversational mode follow these steps:

  1. Create a survey.

    Note: Avoid utilizing unsupported question formats such as Text/Media, Heatmap, File upload, and Audio/Video.

  2. Navigate to Builder and change to Conversational Survey by selecting the option from the dropdown in the top-left corner.

  3. Establish survey components that are distinctive to conversational surveys.

    1. Introduction Message:

      1. Introduction message is the initial message that the participant will receive after submitting a response in the conversational survey.

      2. You can adjust the message text, language title, and button text as required.

    2. Completion Message:

      1. The completion message is the last notification that the participant will receive after finishing the survey.

      2. You have the ability to adjust the message text as required.

    3. Button Text

      1. You have the option to change the text on the buttons for skipping and submitting a response.

  4. You’ll also need to provide Translations for the unique elements of the conversational survey mentioned above.

    1. Go to Translations and follow common steps to setup a translation. Refer to this article for more details.

    2. Change the setting to Conversational mode using the dropdown in the top-left corner and include translations.

    3. You can additionally utilize auto-translate on the unique elements mentioned above.

    4. You must indicate that the translations are complete and then save the translation.

      Note:Distinctive components of conversational surveys do not alter the conventional survey structure.

  5. Inorder to view how the survey looks like in the conversational mode, you need to go to the Preview section located in the upper right corner of the Survey Builder.

In the modal that appears in Preview Mode, choose Conversational from the survey type dropdown menu.

On clicking it the survey opens in the Conversational Mode. Attempt the survey questions to observe the survey flow and make any changes if required.

Note: The Conversational Survey will maintain the same header formatting as the Standard surveys. If the header is turned on or off for the Standard survey, the same will apply to the Conversational surveys. However, unlike the Standard surveys, the Conversational surveys will not feature question numbers, even if they are present in the Standard surveys.

Survey Distribution

Surveys can be shared in a conversational format. The distributions listed below are compatible with this mode:

  • Anonymous Link: Let us have a look at the steps:

    • Go to the Distribution tab in the survey that you want to open in conversational mode and select Anonymous link.

    • Select "Switch to Conversational Survey" from the dropdown menu for Survey Type to distribute the survey as a conversational survey.

  • QR Code: Let us have a look at the steps:

    • Access the Distribution tab in the survey that will be shared in conversational mode.

    • Choose QR Code from the Distribution Options dropdown menu.

    • Choose "Switch to Conversational Survey" from the dropdown menu for the Survey Type.

    • This survey is now available to be shared as a conversational survey.

Note: Conversational Surveys also pose up to three insightful, context-sensitive follow-up questions in response to irrelevant, nonsensical, or off-topic answers for text-based inquiries. Here’s an example of it in use:

You can also evaluate these by accessing the survey through the distribution links or QR Code and trying out the survey to see how it progresses and can make adjustments as necessary.

Key points to note:

The subsequent survey questions are not compatible with the conversational mode. If a survey featuring these questions types is still shared as a conversational survey, those types of questions and their related logic will be disabled when the survey is distributed. Following question types are enlisted below:

  • Audio/Video

  • File Upload

  • Heatmap

  • Bipolar Matrix

  • Conjoint

  • Text/Media
