Knowledge Base Permissions

The Knowledge Base permissions section is vital for the efficient and seamless functioning of your help center. This article provides a detailed overview of each permission, ensuring administrators and users can effectively manage their roles and responsibilities. You can control access to Knowledge Base’s functionalities, such as articles, Content Variables, Content Templates, and translations. Understanding these permissions allows you to maintain a well-organized and secure knowledge management system tailored to your organization's needs.

Knowledge Base
View: Grants access to the Knowledge Base from the Launchpad by making the Knowledge Base button visible. Users with this permission can perform the following actions:
View existing articles and Content Sub-Types, such as Content Blocks, and their properties, including activity logs.
View the Version History of articles and other Content Sub-Types.
Share draft URLs of articles and other Content Sub-Types.
View existing Knowledge Base Categories.
View Nominated Messages and their associated properties.
Create: Allows users to create new articles and other Content Sub-Types (Content Blocks and Release Notes).
Note: You must have View permission under the Knowledge Base Language Setting section to create new articles or Content Sub-Types, as selecting a Language Setting is mandatory during creation.
Edit: Allows users to perform the following actions on articles and other Content Sub-Types:
Modify existing content.
Create a duplicate by cloning.
Map to Other Categories.
Archive.
Note: The Move Category permission under the Knowledge Base section is required to move articles or other Content Sub-Types from one Knowlede Base Category to another.
Delete: Allows users to delete existing articles and other Content Sub-Types, including all associated translated versions.
Approve / Reject / Hold: Allows users to perform the following actions on articles and other Content Sub-Types:
Approve to be made public.
Make them public, if approved, or make them private.
Note: This permission allows users to make articles private or public even if they don’t have the permission to edit them.
Configure scheduled publishing.
Create Category: Allows users to create new Knowledge Base Categories.
Edit Category: Allows users to modify existing Knowledge Base Categories or clone the category hierarchy.
Move Category: Allows users to move Knowledge Categories from one location to another. This permission also allows users to move articles or other Content Sub-Types from one Knowledge Base Category to another.
Delete Category: Allows users to delete existing Knowledge Base Categories.
Approve Post Nomination: Allows users to moderate (approve or decline) nominated Community messages to create articles or delete them.
Import: Allows users to import external content to Knowledge Base.
Export: Allows users to export content from Knowledge Base.
Create Tag: Allows users to create new Knowledge Base Tags and add them to articles and other Content Sub-Types. It also allows users to edit existing tags.
Delete Tag: Allows users to delete Knowledge Base Tags.
Note: Users will also require the Edit permission under the Knowledge Base section to edit or delete tags.
Send For Localization: Allows users to send articles and and other Content Sub-Types for translation after adding new translation(s).
Trigger Localization: Allows users to initiate the localization process for articles and Content Sub-Types marked as “Translation Completed.”
Knowledge Base Content Template
Create: Allows users to create new Content Templates. It also enables them to clone existing templates for reuse and to lock or unlock templates.
View: Grants access to the Content Templates record manager from the Left Pane. It allows them to view existing Content Templates, including their properties and activity logs.
Edit: Allows users to modify existing Content Templates.
Delete: Allows users to delete existing Content Templates.

Knowledge Base Content Variable
Create: Allows users to create new Content Variables.
View: Grants access to the Content Variables record manager from the Left Pane. It also allows users to view existing Content Variables.
Edit: Allows users to modify existing Content Variables.
Delete: Allows users to delete existing Content Variables.
Refer to the Content Variables section for more details on managing them.
Knowledge Base Language Setting
View: Grants access to the Language Settings record manager from the Left Pane. It also allows users to view existing Language Settings.
Edit: Allows users to create new Language Settings or edit existing ones. It also enables them to change the default Language Setting.
